Hello, I’m Phil, Managing Director at LIMIVEX. My journey in management began at the age of 21, and over the years, I’ve honed my skills in operations and quality management. My career has always centered around delivering exceptional products and services, prioritising customer satisfaction, and optimising efficiency and processes. I’ve managed large teams, including up to 150 staff in a local council, and led significant projects, such as a £23 million service transformation. Today, I lead a dedicated marketing team, focused on delivering outstanding results for our clients.
Managing a marketing team like any other team requires structure, clarity, and communication. Managing one that is largely remote, with a hybrid element for local team members, raises the bar even further.
Our team works predominantly remotely, supported by a small hybrid office environment. Over the years, we’ve learned that effective management in this setting isn’t about control, it’s about systems, visibility, communication, and care. When those elements are in place, productivity, quality, and morale follow.
Here are the core principles that guide how we manage our marketing team effectively.
Systems Should Work for the Business - Not the Other Way Around

One of the biggest mistakes companies make is bending their workflow to fit a tool, rather than choosing or configuring tools to fit how their business actually operates.
At Limivex, we’ve used several project management platforms over my tenure here. Each change wasn’t about novelty but more about improving clarity, efficiency, and insight. A project management system should:
Clearly show what projects are live
Make it obvious who is working on what
Provide visibility on priorities and deadlines
Track how long tasks and projects are taking
Reveal whether work is cost-effective or becoming unprofitable
When information is accurate and up to date, the system becomes a powerful management tool. It allows us to analyse where time is being spent, identify bottlenecks, and understand why certain projects overrun but not to apportion blame, it is to improve processes.
Crucially, systems should reduce cognitive load, not add to it. If a tool becomes a burden, it stops serving the business. The right system brings structure, not friction.
Clarity Creates Confidence and Accountability

Remote teams perform best when expectations are unambiguous.
Every team member should have:
A clear view of their workload
An understanding of their priorities for the week
The context they need to complete tasks properly
Confidence in what “good” looks like
As leaders, it’s our responsibility to ensure work is assigned clearly, information is complete, and priorities are realistic. When people know what they’re responsible for and why it matters, they can plan their time effectively and work with confidence.
This clarity also enables better accountability not in a punitive sense, but in a professional one. When expectations are visible, performance conversations become objective, fair, and constructive.
Daily Communication Is Non-Negotiable in Remote Teams

In a remote environment, communication doesn’t happen by accident, it has to be designed.
At LIMIVEX, daily team meetings are vital. They don’t need to be long or heavy, but they serve several critical purposes:
A quick review of what was completed yesterday
A clear outline of what’s scheduled today
Identification of any blockers or challenges
Confirmation of shifting priorities, if needed
These daily touchpoints keep everyone aligned and prevent small issues from becoming big ones. They also reinforce team connection, something that’s easily lost when people aren’t sharing the same physical space.
Consistent communication builds trust, momentum, and a sense of shared direction.
Fostering a Safe Space for Openness and Innovation
An often-overlooked aspect of effective team management is creating a safe and supportive environment. When team members feel comfortable questioning assumptions, sharing ideas, and raising concerns, it leads to greater innovation and stronger problem-solving.
At LIMIVEX, we encourage open dialogue and ensure that every team member knows their voice is valued. By fostering this kind of trust, we not only enhance team cohesion but also empower individuals to contribute their best ideas.
When team members feel heard and supported, they’re more engaged, more motivated, and more likely to go above and beyond.
Productivity Depends on Health, Safety, and Resources

A high-performing marketing team is well supported.
Part of managing effectively means ensuring that team members:
Are fit, healthy, and safe in their work environment
Have the right tools and equipment to do their job properly
Have access to the resources and information they need
Feel comfortable raising issues early
Remote work can blur boundaries and increase screen time. That’s why it’s important to actively encourage:
Regular breaks away from screens
Healthy working hours
Time to reset and recharge
Wellbeing directly impacts focus, creativity, and long term performance. When people are looked after, they do better work. It’s that simple.
Efficiency Without Losing Quality - Always with the Customer in Mind
Ultimately, everything comes back to delivering value for the customer.
Good systems allow us to increase efficiency without compromising quality. Time tracking and workflow analysis help us spot inefficiencies, refine processes, and protect both margins and standards.
But efficiency should never become the goal in isolation. The aim is to:
Deliver consistently high-quality work
Meet deadlines reliably
Use time intelligently
Keep the customer experience front and centre
When teams understand how their work contributes to client outcomes, motivation and ownership naturally increase.
Final Thoughts
Effectively managing a remote or hybrid marketing team isn’t about micromanagement or constant oversight. It’s about creating an environment where people can do their best work whilst being supported by clear systems, strong communication, and genuine care for their wellbeing.
When systems enhance workflow, communication is consistent, and people feel supported, teams thrive.
These principles underpin how we manage a Limivex, how we grow and deliver results… for our team and for our clients.
